Purchasing Officer
Job Objective
- Assist by providing adequate support in procurement related operations and processes of the company in line with approved policies and standards towards achievement of divisional goal
Key Responsibilities
- Contribute to the improvement of business processes and achievement of budgeted OPEX limit by providing assistance in the following areas;
- Research and evaluate suppliers based on price, quality, service, support, availability, reliability, and selection.
- Negotiate prices and contracts with suppliers and vendors.
- Maintain accurate records of purchases, pricing, and other relevant data
- Keep daily track of of farm inventory transfer/usage and alert on reorder level for necessary purchase and delivery plans.
- Coordinate with other departments to ensure procurement needs are met.
- Monitor and track orders to ensure timely delivery
- Resolve any issues or disputes with suppliers.
- Stay up-to-date with industry trends, best practices, and new technologies to improve procurement processes.
- Manage office supplies stock (such as stationery, refreshment, etc.) and reorder as necessary.
- Ensuring activities are conducted professionally and in compliance with the company’s policies, requirements of ISO 9001, ISO 14001, ISO 22000 and other management systems introduced by the company
- Ensuring that work instructional documents; such as manuals, procedures, protocols, checklists, etc, are developed in further compliance with the established management systems to standardize and continuously improve the operations.
- And any other functions that may be assigned from time to time by the management towards the attainment of organizational goals
Key Performance Indicators:
- >_ 0% positive variance in budgeted OPEX
- Production disruption due to stock depletion
- Timely reporting and reconciliation – procurement register (daily) and other office functions ( ongoing basis), reconciliation (month end)
Skills, Competencies and Requirements
Functional Competencies / Requirements:
- Business Analytical Skills
- Proficiency in the use of Microsoft Office Suite
- In-depth knowledge of relevant legislations and procedures

- Excellent verbal, written communication and presentation skills.
- Proficient in Microsoft Office Suite and procurement software.
- Good interpersonal, people management skills and negotiating skills
- Good record keeping and documentation.
- Ability to plan, schedule and coordinate

- Team focused and result-oriented
- Ability to take initiative and multitask
Educational Qualifications / Experience
- Bachelor’s Degree in Business Administration, Supply Chain Management, Accounting or a related field.
- Proven experience as a purchasing officer or in a similar role.
- Strong knowledge of procurement policies, procedures, and best practices.
