Operations/Admin Executive (Practice Coordinator)
Job Summary
We are looking for an Operations/Admin Executive (Practice Coordinator) within a healthcare or clinical setting. This role involves overseeing various aspects of service delivery, operations, staff management, and strategic planning to ensure the smooth functioning of the organisation.
Key Responsibilities
- Prompt and Efficient Service Delivery: Ensuring that all services provided by the centre are delivered promptly and efficiently to service users.
- Organising and Coordinating Daily Operations: Managing the daily schedule of operations for all programs and services, including coordination of staff and resources.
- Clinical, Evaluation, and Training Consultations: Overseeing the delivery of clinical services, evaluation processes, and training consultations to meet the needs of service users.
- Staff Training and Compliance: Ensuring that all staff members complete required training, such as the Paul Wright training, and remain compliant with organisational policies and procedures.
- Staff Development Programs: Selecting and coordinating training and development programs for staff to enhance job performance and skills.
- Reviewing Therapies and Patient Care: Collaborating with clinical staff to review individual therapies delivered to service users and ensuring quality patient care.
- Strategic Planning and Development: Assisting the Managing Director with strategic planning, budgeting, and personnel management to achieve organisational goals.
- Program Management and Evaluation: Designing, implementing, managing, and evaluating specialised programs to ensure they align with current treatment approaches and meet organisational objectives.
- Emergency Preparedness: Establishing and maintaining a list of emergency staff and ensuring staff availability to handle emergencies resulting from sudden absences.
- Privacy and File Management: Ensuring compliance with privacy laws, maintaining confidentiality of client and business files, and implementing secure and organised file management systems.
- Meetings and Communication: Facilitating regular meetings with clinical and administrative staff, as well as involving client family members when necessary, to ensure effective communication and collaboration.
- Visibility and Marketing: Collaborating with content providers to enhance the organisation’s visibility and marketing efforts.
SKILLS AND QUALIFICATIONS
- B.Sc or Masters in any relevant field
- 5 years operations/admin experience in healthcare or clinical field
- 3 years of which must be in management position
- 2 years of which must be in a similar position
- Must have a bit of social media skills
- Good supervisory and management skills
- Strong organisational and coordination Skills
- Excellent time management skills
