Executive Assistant to the COO
Job Responsibilities
- Scheduling and Calendar Management: Managing the executive’s calendar, scheduling appointments andmeetings
- Communication and Correspondence: Handling email, phone calls, and mail on behalf of the executive, as well as drafting and sending correspondence.
- Meeting Preparation and Coordination: Preparing materials, taking minutes, and ensuring a smooth flow of meetings.
- Project Management: Assisting with special projects, such as research, data analysis, and presentations.
- Travel Arrangements: Booking flights, hotels, and rental cars, as well as preparing itineraries.
- Expense Reports and Reimbursements: Processing expense reports, handling reimbursements, and ensuring compliance with company policies.
- Confidentiality and Discretion: Maintaining confidentiality and handling sensitive information with discretion.
- Office Administration: Overseeing office operations, such as supply management, vendor relationships, and facilities management.
- Special Tasks: Handling special tasks, such as preparing presentations, reports, and other materials as needed.
- Liaison and Coordination: Serving as a liaison between departments, teamsand stakeholders, and ensuring effective communication and collaboration.
- Problem-Solving and Crisis Management: Anticipating and resolving problems, as well as providing support during crisis situations.
Qualifications
- Interested candidates should possess a Bachelor’s Degree with 3-5 years experience.
