- Manage the executive’s calendar, scheduling appointments, meetings, and travel arrangements.
- Prioritize tasks and requests according to the executive’s schedule and priorities.
- Communicate schedule changes and updates to relevant parties.
Communication and Correspondence:
- Screen and filter phone calls and emails, directing only the most important ones to the executive.
- Draft and respond to emails and correspondence on behalf of the executive.
- Manage and take detailed notes during meetings and calls.
Travel and Logistics:
- Research and book travel arrangements, including flights, hotels, and ground transportation.
- Prepare itineraries and travel documents.
- Arrange meetings and logistics at travel destinations.
Project Management and Research:
- Manage and support the executive’s projects, including research, data gathering, and report preparation.
- Coordinate with other departments and external stakeholders.
- Prepare presentations and materials for meetings and conferences.
Administrative Support:
- Handle expense reports and other financial tasks.
- File and manage documents electronically and physically.
- Perform miscellaneous tasks as needed, often at the executive’s discretion.
Additional Responsibilities:
- Maintaining confidentiality and exercising discretion with sensitive information.
- Anticipating the executive’s needs and proactively resolving potential issues.
- Staying up-to-date on the executive’s industry and relevant news.
- Cultivating strong relationships with internal and external stakeholders.
