We are recruiting to fill the position below:

Job Position: Branch Operations Manager
Job Location: Garki, Abuja
Employment Type: Full-time

Description 
Manage and monitor branch staff:

  • Support the HR Department in the selection of skilled staff as required according to HR policies and procedures and the departmental budget.
  • Liase with HR to ensure that all recruitment, selection, and resignation documentation are completed, updated and forwarded to HR as required according to HR regulations and requirements.
  • Answer and/or refer any queries from employees in respect of leave matters and complete any administrative tasks as needed.
  • Support induction for new appointments and ensure that new staff members are orientated into the department.
  • Set short- and medium-term goals and action plans according to any known strategic business plans and changes in work patterns.
  • Complete annual performance appraisal according to departmental and Training Department needs.
  • Assist with counselling, grievance and/or disciplinary procedures as required according to relevant HR policies and procedures and departmental house rules.
  • Plan and approve leave allocation, allocation of time off, duty rosters, training, accreditation, safety officer appointment and arrange for relief staff when required.
  • Relate training needs of relevant staff and record the training needs according to the relevant policies and procedures.

Perform operational management tasks:

  • Identify and solve operational problems such as: TAT failures (KPI 90% TAT for all patients), Process Nonconformances, Staff Non-conformances, noncompliance with policies and procedures.
  • Customer Satisfaction: Meet branch TAT(90%) by ensuring adequate stock levels in branch, proper man power planning, <2% Patient complaint by optimizing processes to reduce waiting time and improving customer experience, accurate data capture by FDO, <5 Patient refunds/Month by proper customer engagement by FDO,s,
  • Communicate daily branch operations update with Regional Operations Manager and Call center.
  • 95% equipment uptime by ensuring maintenance schedules for all Equipment are followed by end users and Engineering/Facility and communicate deviations to the Facility Manager promptly.
  • Effective Stock Monitoring: Perform weekly consumption on SAP, submit branch stock request on the 25th of every month. Zero physical count Vs SAP Variance
  • Send out or receive staff circulars and internal memos when required.
  • Meet with Pathologist/ Radiologist in charge on relevant operational and staff issues, plans for future developments and new policies and procedures as required.

Generate Management report:

  • Monitor branch instrument and staff status.
  • Weekly revenue report for the finance team
  • Monthly branch consumption report on SAP
  • Monitoring weekly consumption on SAP
  • Collation of referrals for credit clients
  • Weekly operations report for Regional Operations Manager

Financial management:

  • Verify all staff duty claims and allowances monthly according to relevant work instruction/SOP.
  • Monitor the materials management of the department according to days-on-hand and other relevant Materials Management reports.
  • Monitor branch expenses and productivity according to the monthly financial reports.
  • Patient refunds to be zero at month end.
  • Ensure adherence to cashless policy
  • All documentation pertaining to corporate/retainership client visits must be completed correctly and filed at branch. These are required by accounts to compile consolidated corporate accounts accurately.

Job Requirements

  • 5-7 years of experience in a Medical Branch Operations
  • Bachelor’s Degree in Medical Laboratory Science, or any related field
  • Relevant professional certification
  • Excellent problem-solving skills
  • Strong written and verbal communication skills
  • Comprehensive understanding of labor law
  • Strong computer skills and experience with HR software
  • Professional demeanor and competent problem solver
  • Observes confidentiality both with patient information and co-workers.
  • Attention to detail and Time management.
