Admin and Finance Head / Head of Operations

POSITION SUMMARY: 

  • As the Head of Operations and administration, you will be responsible for supervising daily support operations of our organisation and planning the most efficient administrative and financial procedures.
  • You will also develop an operational improvement strategy in collaboration with our senior managers/staff, defining employee roles, allocating resources, and presenting progress updates to our executives.
  • You will also make important policy and strategic decisions and develop and implement operational policies and procedures.
  • To make sure you’re eligible for this role, you should have extensive experience in a related industry and the ability to lead optimisation initiatives.

Administrative Manager Roles

  • Organize and streamline the admin unit to make office operations more efficient.
  • Manage the documentation of processes, monitor progress, and prepare status reports.
  • Plan and coordinate administrative procedures, facilities services, maintenance activities and systems and devise ways to streamline office activities and processes
  • Ensure the smooth and adequate flow of information within the company to facilitate other business operations
  • Monitor costs and expenses to assist in administrative budget preparation
  • Manage tradespersons and staff schedules and deadline

Operations Manager Roles

  • Work closely with the C.E.O. and management team to set and implement policies, procedures, and systems and to follow through with implementation.
  • Manage overall operations and effectively and successfully manage labour, productivity, quality control, and safety measures as established in the Group.
  • Serve as a company representative on regulatory issues. Enhance the operational procedure, systems, and principles in information flow and management, business processes, enhanced management reporting, and look for opportunities to expand systems.
  • As an operations manager, you are responsible for managing a team of people, which involves both the engagement and development of these people.
  • As the Operations Manager, you will support the project/Program planning process and ensure key performance indicators (KPIs) are in place and targets are met. 
  • Manage the finance team to oversee the budgeting, costs, reporting, planning, forecasting and auditing. 
  • Develop, implement and review operational policies and procedures and document processes, monitor progress and prepare status reports
  • Observe current management practices and interview staff to find areas for improvement and optimisation
  • Oversee the implementation of operational improvement and resource utilisation strategies
  • Collaborating across departments to set realistic operational targets and timeframes
  • Build alliances and partnerships with other organisations
  • Determine the scope of governance structures via consultation and evaluation.
  • Restructure departments and define employee roles.
  • Facilitate training initiatives and promote best practices.
  • Integrating new technologies and promoting adherence to industry standards
  • Conduct an audit of the organisation 
  • Be numerical, able to analyse and interpret data, understand the impact of data on an organisation
  • Make recommendations for new systems, practices, and procedures to be implemented
  • Update models, accounts and CRM systems to enable the smooth running of the business
  • Optimize supply chain logistics 
  • Suggest changes to improve the overall structure of the business and examine employee job roles
  • Analyse relationships between businesses and suppliers/manufacturers and negotiate improved contractual terms
  • Update financial processes and reporting strategies. 
  • Effectively manage projects from inception to completion
  • Lead teams to secure positive outcomes for organisations

Qualifications/Skills

  • A bachelor’s degree in Finance, Economics, Management Science, Business Administration or a related field.
  • Having a Master’s degree and professional certifications, such as the Certified Management Consultant (C.M.C.) program, is an added advantage. 
  • 8+ years’ experience in business and operations management and or consulting 
  • Extensive knowledge of operations/administrative management strategies
  • Excellent communication and networking skills
  • Exceptional analytic and problem-solving abilities
  • Ability to collaborate with stakeholders 
  • Thorough understanding of financial and budgeting processes and principles, which allows to assess the company’s earnings and spending to find areas for improvement.
  • Proficiency in data analysis and business management software
