Main Duties and Responsibilities:
- Oversee and support all administrative duties in the office and ensure the office operates smoothly.
- Maintain accurate records and ensure the confidentiality of sensitive information.
- Generate and process purchase orders for necessary supplies, equipment, and aesthetic products.
- Ensure that all procurement activities align with the established budgetary constraints.
- Keep track of inventory levels for skincare products and office supplies.
- Conduct quality assessments of received supplies and products to ensure they meet the clinic’s standards.
- Generate regular reports on procurement costs and savings for management review.
- Facilitate smooth communication and collaboration among team members.
- Coordinate and oversee routine maintenance of the clinic’s facilities, including repairs and upgrades.
- Supervise maintenance officers to ensure a safe and aesthetically pleasing environment.
- Monitor and ensure compliance with all relevant regulations, including health and safety standards and licensing requirements.
- File hard copies of tax remittance and attend to tax related matters.
- Post clinical operations expenses.
- Lodgement of cash to the bank and P.O.S reconciliation.
- Ensure compliance with all clinic policies and procedures.
- Address day-to-day challenges with a proactive and solution-oriented approach.
Required Skills and Qualification
- Bachelor’s degree in business administration, communications, or a related field
- 2-4 years of work experience in an administrative/office management role.
- Fanatic attention to details and problem solving skills.
- Excellent organizational and time management skills, and multitasking ability.
- Strong interpersonal and communication skills.
- Proficiency in basic computer applications (Microsoft Office, email,Excel Google suits etc.).
- Enthusiastic, personable, and able to create a welcoming atmosphere.
- Ability to adapt to a fast-paced and dynamic environment.
